At the heart of every payslip is more than just a calculation — it’s a person, a process, and a purpose. For Masego Rakoma, a Junior Payroll Specialist, payroll is not just about numbers. It’s about precision, empathy, and a deep understanding of how systems, laws, and people come together to make sure everyone gets paid — accurately and on time.
From Financial Management to Payroll
Masego’s journey into payroll wasn’t scripted. “I studied towards a Financial Management degree, which opened doors for me to the payroll world,” she explains. While payroll wasn’t her original plan, things shifted during her internship when she was first introduced to the field. “I then pursued a payroll diploma qualification, and that experience led to a full-time role. From there, my journey really began. I found it incredibly rewarding and knew it was something I wanted to grow in.”
What Payroll Really Looks Like
Forget the idea that payroll is just punching numbers into a spreadsheet. “Payroll is much more dynamic than people think,” Masego says. Her typical day involves processing salary changes, managing leave and attendance, reconciling third-party payments, and handling employee queries. But it doesn’t stop there. “I also do audits, submit reports to SARS, UIF, and Stats SA, and ensure everything aligns with both company policies and labour regulations. It’s about balancing tight deadlines, accuracy, and compliance with legal requirements.”
What she enjoys most? “Definitely the problem-solving,” she says. “Whether it’s identifying a payroll variance, resolving reconciliation issues, or helping an employee with a query — I love making sure every cent is accounted for.”
But it’s not without its challenges. “Dealing with last-minute changes or late submissions that can impact timelines is tough. It really requires quick thinking and strong problem-solving skills.”
Navigating Multiple Departments
Payroll sits at the cross-section of HR, finance, and compliance, and managing those relationships is key. “I navigate the pressure by understanding the role each division plays and maintaining strong communication,” she says.
“HR provides new hire data, terminations, leave records — they help verify payroll inputs. Finance handles journal postings, funding approvals, and ensures alignment with reporting standards.”
For Masego, payroll is the thread that ties these functions together. “I see payroll as the link that brings these functions together — but I also feel like payroll deserves its own table.”
Beyond the Myths: What People Get Wrong About Payroll
“There’s this idea that payroll is just pushing a button and salaries are paid,” Masego laughs. “But there’s so much more to it.” She points out that successful payroll professionals need strong analytical skills, a deep understanding of labour legislation like the BCEA, emotional intelligence, and top-notch Excel proficiency. “You’re managing sensitive information, solving real problems, and directly influencing employee satisfaction. That’s a big responsibility.”
Technology and Transformation
With automation and digital systems on the rise, the role is shifting. “Technology has significantly improved payroll efficiency and accuracy,” she says. “Systems like Sage 300 People, Payspace, Xero and digital clocking tools help me process faster and reduce errors.”
But tech isn’t just about ease — it demands new skills. “Payroll is no longer about manual input. It’s about systems, reporting, integrations, and digital compliance. You constantly have to upskill.”
Lessons and Reflections
Looking back, Masego shares one core lesson: “Always double-check everything — even the small things. One small oversight can have a major impact.”
She’s also learned the value of empathy. “You’re dealing with people’s livelihoods. How you communicate matters.”
Would she change anything about her journey? “I wouldn’t do anything differently — other than trusting myself more and asking more questions early on. Payroll chose me in a way, and it’s allowed me to grow in confidence, skills, and leadership.”
Skills That Matter
For anyone considering payroll, Masego highlights a mix of hard and soft skills.
Hard skills: Excel proficiency, system knowledge (like Sage), and payroll legislation.
Soft skills: “Time management, attention to detail, being solution-driven,” she says. “You also need to be approachable yet professional — people trust you with very personal concerns.”
Her advice to new graduates? “Start somewhere — even if it’s admin-heavy. Take initiative, ask questions, and go the extra mile. Payroll might not be glamorous, but it’s respected, and it builds a strong business foundation.”
Pride in the Process
One of Masego’s proudest moments? Running payroll independently. “Being trusted to run it solo and getting positive feedback for a flawless payroll run — it was a huge responsibility. Knowing I could handle it gave me real confidence.”
When Things Get Tough
A defining moment in her career came during unexpected operational changes in the company. “It tested my adaptability and my ability to manage pressure. We had to implement changes quickly, communicate them effectively, and still meet payroll deadlines.” Through it all, she remained professional. “It reminded me that payroll isn’t repetitive — it’s reactive, it’s strategic, and it’s people-focused.”
Looking Forward
Over the next few years, Masego has her eyes set on growth. “I’m aiming for a senior payroll role, especially on the payroll accounting side. I’m also interested in global payroll — adapting to different countries’ legislation.”
And beyond her personal goals, she wants to give back. “I’d love to launch a payroll community — a space where new professionals can share knowledge, get guidance, and feel supported.”
Advice to Her Younger Self
If she could go back in time, Masego would remind herself:
“Don’t be afraid to ask questions, and most importantly, don’t be afraid to fail.”
“Some of my biggest lessons came from mistakes. Each setback shaped the professional I am today.”
Through every payslip processed and every system mastered, Masego Rakoma is proving that payroll isn’t just a job — it’s a craft that blends people, precision, and purpose.
